Agrotours “Terms and Conditions”
Please carefully read these Terms and Conditions before making a tour booking or signing a contract for tour services with us. For the purpose of this document Agrotours Inc will be referred to as the “Company”; and you, the booking individual or group organizer will be referred to as the “client/s”.
To make a reservation, you need to place a deposit for yourself and each person traveling with you on the Tour. This deposit amount will be determined in the tour application or contract provided to the client. Payment of the deposit does not constitute confirmation of the Tour, if a minimum number of travelers, as determined by the Company, has not been met at least 30 days prior to departure date.
Cancellation policy: The right to a refund if the Client/s change travel plans is limited. All requests must be in writing and sent [return receipt] to Agrotours Inc, PO Box 29130, Richmond, VA 23242. Cancellation ninety days [90] or more prior to tour departure will receive full refund of payments made, less $150 cancellation fee. Cancellation between thirty [30] and ninety ]90] days will forfeit the deposit, and may also be subject to Supplier* cancellation fees. Cancellation within the thirty [30] day period prior to departure will not be refunded, except in the case that the group organizer can replace the cancelled person with another person.
*The Supplier is an airline, hotel, charter coach company, restaurant, museum or entrance fee, guide, or unrecoverable administrative charges.
Cancellation by Company: The Company retains the right to cancel a tour if a minimum number of passengers has not been met; or if circumstances beyond the control of the Company such as strikes, flight cancellations, weather conditions, acts of God, earthquakes, civil unrest, or natural disasters; quarantines, or government actions that determine the tour should be cancelled. In that case, all payments made by the Client/s will be refunded in full.
Extension of Stay or Deviation: Any extension of stay, or deviation from the tour plan is at the Client’s expense. The Company may be able to assist with hotel accommodations, or other travel, which will be billed to the Client. Clients who decide to leave the tour at any point will not be reimbursed for services unused, such as hotel rooms, meals, etc.
Travel Documents: Each traveler is solely responsible for ensuring that their passport or other travel document is valid for at least 6 months from the last point of return to their home. And that the traveler has all the necessary visas, permits, licenses, vaccinations, health certificates, and/or other documents or approvals as may be required by the applicable governmental authorities in the destination countries on the Tour. The Company shall not be responsible for any loss or expense, or to refund any part of the Tour fee, should the traveler be refused entry by the immigration authorities of any country, for any reason whatsoever.
Visa Applications: The Company, from time to time, may assist the traveler to submit a visa application for a fee, but does not guarantee the outcome or approval of the application. Different embassies or consulates require varying lengths of time to process applications and immediate application is recommended after booking the Tour.
Travel Insurance: Client/s are strongly recommended to obtain comprehensive travel insurance to protect against unforeseen circumstances, such as baggage loss, flight delays or cancels, and medical emergencies. Agrotours can supply you with recommended insurance brochures, however the Client has the right to choose any travel insurance policy that meets their requirements.
Baggage handling/Lost or Damaged: Travelers will be allowed check-in and hand carry luggage according to the respective airlines regulations. Excess baggage must be paid locally when checking in. Please refer to your airlines website for baggage allowances. The Company will not be responsible for loss, damage, or theft of any items belonging to the traveler throughout the tour, to include loss on charter coaches, or in hotels.
Travelers with Special Needs: The Company shall try but not be held responsible to accommodate special needs of disabled travelers if we are unable to make requested arrangements. An able-bodied companion will need to provide assistance with walking, getting on and off charter coaches, climbing stairs with luggage; nor are we responsible for missed activities due to special needs of the traveler. The Company will attempt to arrange special meals for those with dietary restrictions.
Tour Pricing: The quoted price of a Tour is based on the currency exchange rate of the countries to be visited on the Tour, at the time that brochures or mailings are made to Clients. Currency exchange rates vary from day to day; and the Company reserves the right to adjust the tour price at 60 days prior to departure. Any adjustment in price will be reflected in the final invoice.
Third Party Suppliers: The Company relies on the services of airlines, hotels, transportation companies and other third party providers for our Tours. These Terms and Conditions and all arrangements related to the Tour are additionally subject to the Terms and Conditions that may be imposed by third party suppliers. The Company has no control over third party suppliers and shall not be liable, in any way, for any changes made by acts or omissions on the part of the Suppliers. Any claim for any omission or error by a Supplier must be made directly to the Party responsible.
Rights and Indemnity: The Company shall not be responsible for any injury, damage, loss or delay affecting the Client/s not arising from our own negligence or breach; nor any loss, damage, cost or expense or delay or incurred due to circumstances beyond our control, but not limited to actions or omissions of third parties, mechanical breakdowns, a Force Majeure event, a failure by the Client/s to comply with their obligations to obtain and possess or maintain any travel documentation required by the Tour.
We reserve the right to withdraw any itinerary, to make changes beyond our control relying on technical visits or meetings that are cancelled by the receiving parties. We will attempt to substitute visits of equal value to the Client. Additionally, we reserve the right to make changes to these “Terms and Conditions” or policies contained therein, from time to time.
